BENEFITS

  • An opportunity to partner with the New York State Conference of Mayors and Municipal Officials (NYCOM) and our member cities and villages.

  • Exhibit space includes a 6' skirted tabletop and two chairs. Displays larger than 6' will not be allowed in the exhibit area.
  • All Royal and Golden NYCOM Network patrons and conference sponsors will receive a premium booth location.
  • Two conference registrations for employees of your company which include attendance at the conference, all sessions, Sunday dinner, Monday Social Hour and all breaks.
  • A $245 reduced registration fee per additional employee (beyond the two included registrations).
  • Company recognition on conference signage.
  • Networking coffee break opportunities in the exhibit area to communicate face-to-face with city and village decision-makers.
  • A ribbon on your name badge identifying your participation level.
  • Inclusion in the online product and services guide on the NYCOM website for one year.
  • A list of all attendees and their contact information prior to the event.

    * Exhibitors are welcome to host their own prize drawing at their exhibit booth but must be responsible for contacting the winner and distributing any winning gift(s).

HOURS*
Set-Up and Breakdown Hours
Set-Up: Sunday, February 1st after 2:30 p.m. All exhibits must be set up by 4:00 p.m.
Breakdown: Monday, February 2nd after 4:00 p.m. All exhibits must be removed by 5:30 p.m.

Exhibit Hours
Sunday, February 1st: 4:00 -8:00 p.m. | break: 4:30-5:00 p.m. | dinner: 6:00-8:00 p.m.
Monday, February 2nd: 8:00 a.m.-5:30 p.m. | breaks: 8:45-9:00 a.m.; 11:00-11:15 a.m.; 3:00-3:15 p.m. | social hour: 4:30-5:30 p.m.

BOOTH POLICY
Only one company per exhibit booth is allowed. Sharing of your exhibit space with a representative of another company is strictly prohibited, including consultants employed by another company. Sharing your exhibit space with another company will result in a second exhibit fee.

ELECTRICAL
If you require basic electrical service (standard 20amp outlet), it must be ordered during the registration process (for an additional cost).

CANCELLATION AND REFUND POLICY
All exhibitor and sponsorship payments must be received BY January 16, 2026, or your booth/sponsorship will be forfeited. For any cancellations after January 16th, your company will be charged a $250 processing fee. For cancellations after January 23, 2026, or no-shows, there will be NO refunds for your meals, exhibitor, sponsorship, or advertising registration.

MEALS
Sunday's dinner (up to two employees per booth) is included with your exhibitor fee. Breakfast is included with the hotel room rate.  If your employees would like to participate in Tuesday's lunch, please purchase your meal package when registering.There will be a 15% surcharge for onsite meal purchases.

The Marriott Albany is the headquarters for the 2026 Winter Legislative Meeting. All sessions and meals are held at the Marriott Albany. 

ROOM RATES AND RESERVATIONS
Reservations must be received BY JANUARY 23, 2026, after which time the room block will be released and reservations will be accepted based on availability. Please note that the room block CAN sell out prior to the cut-off date so REGISTER EARLY to ensure a room in the hotel. 

MARRIOTT ALBANY ROOM RATES (Breakfast is included in room rate):
SINGLE: $170 +tax/per night | SINGLE: REGISTER HERE
DOUBLE: $208 ($104.00 per person) +tax/per night | DOUBLE: REGISTER HERE

TUESDAY LUNCH MUST BE PURCHASED DURING THE MEETING REGISTRATION PROCESS (Sunday dinner is included with exhibitor registration (up to two employees) and breakfast is included in the hotel room rate). 

BOOKING
To make a room reservation, use the respective link provided above OR you may call the Marriott Albany at (518) 458-8444 and refer to the 'NYCOM’ room block.  All hotel reservations must be accompanied by a one-night deposit or guaranteed by a major credit card. 

CANCELLATIONS
Reservations may be canceled up to 48 hours prior to your arrival without penalty. Upon early departure, an Early Departure Charge of one night's room stay applies. Reservations may be canceled online using your reservation number or by phone at (518) 458-8444.
