BENEFITS
- An opportunity to partner with the New York State Conference of Mayors and Municipal Officials (NYCOM) and our member cities and villages.
- Exhibitor acknowledgment in the Conference Program featuring your company logo, category and contact information.
- Exhibit space that includes an exhibit booth (8'x6'), side draping, one skirted tabletop, two chairs and one wastebasket. Displays larger than 6' will not be allowed in the exhibit area.
- All Royal and Golden NYCOM Network patrons and conference sponsors will receive a premium booth location.
- Two conference registrations for employees of your company, which include attendance at the conference, all sessions, Wednesday's Bourbon Street vendor crawl and theme dinner, Thursday's cocktail reception, and all breaks.
- A $200 reduced registration fee per additional employee (beyond the two included registrations).

BOURBON STREET VENDOR CRAWL
Step into the spirit of New Orleans as the exhibit hall located in the 1932 Jack Shea Arena (ice rink) transforms into the French Quarter for a one-hour vendor reception prior to Wednesday's theme dinner. Attendees will stroll from booth to booth and soak up the lively atmosphere with music, mingling, and a dash of Mardi Gras flair. As an exhibitor, attendees will be making “stops” throughout the hall, and you will have the opportunity to either serve up a signature NOLA–themed sip or treat sample (drink and food samples MUST NOT exceed 2oz), hand out fun memorabilia or just bring the fun to your booth. In addition, attendees will be collecting stickers from your exhibit table to receive a drink on the house at Wednesday's theme dinner.
BEST BOOTH COMPETITION
Each exhibitor may choose to participate in our first-ever BEST BOOTH COMPETITION. Booths will be scored and awarded in three categories: BEST DESIGN, MOST ENGAGING, and BEST USE OF THEME (NEW ORLEANS). The winners of the competition will be announced via the NYCOM Meeting App on Thursday morning. The three winners will be highlighted on NYCOM's social media pages and on the Bulletin Board in the Municipal Matters magazine, and will receive a banner advertisement in NYCOM's Municipal Minute newsletter.
Regulations: All exhibitors must adhere to booth designation size, no booth shall obstruct the view of adjacent booths, no strobe lights, music or loud noises allowed. Food or drink samples must be 2oz or less and must be individually wrapped before they are brought into exhibit areas. No permanent damage to the walls or floors like nails, tacks, tape, etc. Failure to abide by these regulations will disqualify participants from the booth competition and prohibited items must be removed.
Exhibitors are welcome to host their own prize drawing at their exhibit booth but must be responsible for contacting the winner and distributing any winning gift(s).

- Set-Up: Monday, September 15th after 10:00 a.m. All exhibits must be set up by 12:30 p.m.
- Breakdown: Thursday, September 18th after 12:00 p.m. (All exhibits must be removed by 2:30 p.m.)

CANCELLATION AND REFUND POLICY
All exhibitor and sponsorship payments must be received BY AUGUST 29 2025, or your booth/sponsorship will be forfeited. For any cancellations after August 29th, your company will be charged a $250 processing fee. For cancellations after September 8, 2025 or no-shows, there will be NO refunds for your meals, exhibitor, sponsorship, or advertising registration.
MEALS
The NYCOM overnight room block at the two vendor host hotels includes breakfast only. Wednesday's theme dinner and Thursday's president's reception are included with your exhibitor registration fee (up to two per company). Additional meals can be purchased online when you register. There will be a 15% surcharge for onsite meal purchases.
BOOTH POLICY
Only one company per exhibit booth is allowed. Sharing of your exhibit space with a representative of another company is strictly prohibited, including consultants employed by another company. Sharing your exhibit space with another company will result in a second exhibit fee.
ELECTRICAL
If you require basic electrical service (standard 20amp outlet), it must be ordered during the registration process (for an additional cost).
